Your passport, your data, your trust. Here's exactly how we handle it.

What data we collect

To process visa applications, book travel, and stay in touch, we collect:

  • Identity & contact: full name, date of birth, phone number, email address, residential address.
  • Travel & immigration: passport details, prior visas, refusal history, travel dates, itinerary preferences.
  • Supporting documents: bank statements, ITRs, employment letters, invitation letters, marriage / education certificates.
  • Photographs: passport-style photos required by embassies and consulates.
  • Payment details: transaction references for visa, forex and package payments (we do not store card numbers).

Why we collect it

  • To assess visa eligibility and prepare your application file.
  • To file your application with the relevant embassy, consulate or VFS / BLS centre.
  • To book flights, hotels, transfers, travel insurance and forex on your behalf.
  • To communicate updates over WhatsApp, email, phone or our secure portal.
  • To comply with Indian tax, anti-money-laundering and consumer-protection laws.

How it is stored

Sensitive documents are stored only inside our encrypted client document portal, hosted on access-controlled cloud infrastructure. We do not permanently retain passport scans, bank statements or KYC documents on WhatsApp chats or email inboxes — any copies received via those channels are moved into the portal and the originals are deleted.

Access inside Horizon Travels is restricted to the case officer assigned to your file and our Grievance Officer. All staff sign confidentiality undertakings.

Who we share it with

We share data only with parties strictly required to deliver the service you booked:

  • Embassies and consulates of your destination country.
  • Official visa application centres such as VFS Global, BLS International, TLScontact.
  • Airline, hotel, transfer and insurance partners for confirmed bookings.
  • Authorised forex partners (RBI-licensed money changers / AD-II entities).
  • Regulators or law-enforcement authorities, only where compelled by Indian law.

We do not sell, rent or trade your personal data with marketers, advertisers or data brokers — ever.

Your rights under the DPDP Act, 2023

Under India's Digital Personal Data Protection Act, 2023, you have the right to:

  • Access the personal data we hold about you.
  • Correct inaccurate or outdated information.
  • Erase your data when it is no longer required for the purpose it was collected.
  • Withdraw consent for further processing at any time.
  • Nominate another person to exercise these rights on your behalf in the event of death or incapacity.
  • File a grievance with our Grievance Officer and, if unresolved, escalate to the Data Protection Board of India.

Email us at info@myhorizontravels.com to exercise any of these rights. We respond within 7 working days.

Data retention

We retain visa application documents for 90 days after the final visa decision, after which they are securely deleted from the portal — unless you explicitly opt in to retain them with us for future applications (useful for clients who travel frequently). Booking and invoice records are retained for 8 years to comply with Indian tax law.

Cookies & site analytics

Our website uses only essential cookies needed to keep you signed in and to remember your form progress. We use privacy-respecting analytics to understand which pages are useful — no cross-site tracking, no advertising pixels.

Updates to this policy

We may update this policy as our services or the law evolves. Material changes will be communicated by email to active clients and noted on this page.
